How to write a security deposit refund letter

Most of us depend on getting our security deposit back to move into our next place.  This dollar amount is significant– typically the equivalent of one month’s rent.  Assuming you’ve followed the process in your rental lease for giving notice and left your unit clean and in good condition, use one of these templates to request your refund. 

  1. Review your state law for the specifics related to your security deposit.
  2. Gather your information for reference.
    • A copy of your move-out notice  
    • Documentation/photos of the unit’s condition before and at the time of move-out 
    • A copy of maintenance requests and results (if relevant)  
    • The dollar amount (and interest if applicable) you are owed

Letter 1: First notice – forwarding address

Dear [Name ]

Please return my security deposit of [$  ] and interest to my forwarding address

<insert address>

I vacated my apartment on [date].  The apartment was left clean and I have documented the condition that it was left as I received it, except for normal wear and tear.  In accordance with RCW 59.18.280, you are required to return the deposit within 14 days from termination of the lease.

Thank you for your attention to this matter.  You may reach me at any time at [phone number].

 Letter 2: Demand email/letter – past due

Dear [Name ]

Please return my security deposit of [$  ]  and interest to my forwarding address

<insert address>

I vacated my apartment on [date].  The apartment was left clean and I have documented the condition that it was left as I received it, except for normal wear and tear.  In accordance with RCW 59.18.280, you are required to return the deposit within 14 days from termination of the lease.

YOU ARE NOW PAST DUE AND BEYOND THE STATE LIMIT FOR RETURNING THE DEPOSIT. 

Please return the deposit this week to avoid further legal action, up to and including small claims court, as allowed by law.
